How to submit your events to the Dornsife Event Calendar

ENTERING EVENTS AS A GUEST:*

To submit a USC Dornsife-related campus event as a GUEST, go to https://web-app.usc.edu/web/ecal/submit/dornsife.html and fill out the form. Note that this form requires users to log in with Shibboleth (in order to keep spammers out) but it does not require VPN.

Once approved by the calendar manager, events will appear in the Dornsife event calendar. If you are submitting an event less than a week in advance, email the calendar manager to let them know it needs to be approved ASAP.

 

ENTERING EVENTS THROUGH YOUR DEPARTMENTAL ACCOUNT:**

Please note: If you are off-campus or using USC Wireless, you must run VPN in order to upload images to the event calendar. This is a security measure for people on our guest network. You don't have to run VPN if you are on a wired connection or USC Wireless Plus. To set up VPN go to usc.edu/its/vpn/.

To submit a USC Dornsife-related campus event from your departmental calendar account, log in at https://web-app.usc.edu/ecal/index.php,

In step 1, enter the event title, subtitle, category, short description (a brief 1-2 sentence summary), location and event contact name and email.

In step 2, enter the full description of the event and add related 72 dpi (lo res) images to accompany the listing (strongly recommended!). If you upload one image, the system automatically resizes it into all three requested size formats. Note that the second size format is 233x95 pixels, a wide, short cropping that usually requires uploading a second, cropped image. If you don't enter this second size format, the listing cannot be featured at the top of the Dornsife Events page, but it will still go in the calendar. Add an RSVP email at bottom of page if applicable.

In step 3, enter the event time and date. Choose an end time if possible, otherwise the default appears as 11:59 p.m.

In step 4, check the "USC College" box to send the event to the Dornsife calendar for approval. You also have the option to send the event to the main USC calendar. Click save and the event submission process is finished!

Once approved by the calendar manager, events will appear in the Dornsife event calendar. If you are submitting an event less than a week in advance, email the calendar manager to let them know it needs to be approved ASAP.

Once events are in the Dornsife calendar, they become part of a pool from which events are chosen to be featured in the USC Dornsife events enewsletter every Monday. If you have an event that you’d like to have featured in the enewsletter, you can make this request by emailing a high-quality image (at least 465 pixels wide by 260 pixels high) and your event's URL in the calendar to the calendar manager.

*Entering calendar events as a guest is best suited for one-off events sponsored by your department, institute or center – guests are not able to go back and edit their entries at all, they would need to contact the calendar manager make updates or changes.

**If you are a department, institute or center that enters events regularly you might consider requesting your own account, which would allow you to enter and edit your own events and even generate a department-specific event feed on one of their related USC Dornsife web pages. For a new account or if you are a new staff member needing to be added to an existing account, contact the calendar manager.
